This Privacy Policy explains how we collect, use, store and share personal data when you use our website, booking system (managed through Pebble), and participate in our programmes.

1. Data Controller

Healthy Kidz CIC is the Data Controller for all personal data collected through our website, booking system and programme delivery. Pebble acts as a Data Processor on our behalf.

Contract: To manage bookings, deliver sessions and communicate essential information.

Legal obligation: To comply with safeguarding, health & safety and financial record‑keeping requirements.

Legitimate interests: To operate and improve our programmes.

Consent: For marketing communications.

Article 9 UK GDPR – Special Category Data

Where we process health information (e.g., allergies, medical conditions), we rely on:

Explicit consent from the Parent/Guardian; or

Substantial public interest (safeguarding of children) under Schedule 1, Part 2, para 18 DPA 2018.

3. Information We Collect

We may collect the following information:

  • Parent/Guardian Information: Name, contact details, payment information.
  • Child Information: Name, date of birth, medical conditions, allergies, additional needs, emergency contacts.
  • Session Information: Bookings, attendance records, participation notes.

  • Marketing Preferences: Where consent has been provided.

We only collect information necessary to deliver our services and ensure child safety.

  • Manage bookings and process payments through Pebble
  • Deliver sessions safely and effectively

  • Comply with safeguarding and health & safety requirements
  • Share relevant information with partner schools for programme delivery

We do not sell or share personal data for marketing purposes.

5. Children’s Data

Healthy Kidz processes children’s data with enhanced protection.
All consent and information must be provided by a Parent/Guardian.
We do not provide online services directly to children.

6. Data Sharing

We only share personal data where necessary:

  • Pebble (Data Processor) for booking and payment management
  • Healthy Kidz staff and coaches for safeguarding and session delivery
  • Partner schools to support programme delivery and child safety
  • Emergency services or safeguarding authorities where required to protect a child

All third parties are contractually bound to comply with UK GDPR.

7. International Transfers

Healthy Kidz and Pebble store data within the UK and EEA.
If data is transferred outside the UK/EEA, appropriate safeguards (such as Standard Contractual Clauses) will be applied.

8. Data Storage, Security and Retention

We implement appropriate technical and organisational measures to protect personal data.

Retention periods:

  • Booking and attendance records: up to 3 years
  • Safeguarding records: as required by statutory guidance (typically 6–25 years depending on severity)
  • Financial records: 6 years (HMRC requirement)
  • Marketing preferences: until consent is withdrawn

Data is securely deleted or anonymised when no longer required.

9. Data Breaches

Healthy Kidz maintains a breach response procedure.
Where a breach poses a risk to individuals, we will notify affected parents and the Information Commissioner’s Office (ICO) in accordance with Articles 33 and 34 UK GDPR.
